Problematic Expense Guide - A to Z
- Locksmith Services, Lock & Key Installation/Repair/Replacement including Electronic Key Card Systems - The payment or reimbursement for any type of locksmith services for University property on the Albuquerque campus is a prohibited use of University funds. These services must instead be obtained directly through the UNM Lockshop.
- Examples:
- Repair or replacement of locks on University facilities, vehicles and equipment.
- Issuing or duplicating keys (including electronic keys) for University facilities, vehicles and equipment.
- Installation of electronic key card systems in University buildings and facilities.
- The Reason this is Unallowable – Security of University buildings and property is essential for the protection of individuals and University assets. To ensure security, University Administrative Policy 5010: Key Authorization grants the University Lock Shop at Facility Maintenance (FM) the exclusive responsibility for issuing keys and installing and maintaining locks and electronic key card systems for University facilities, vehicles, and equipment. All keys issued remain the property of the University of New Mexico, and cannot be produced, duplicated, or obtained from any source other than the University Lock Shop. The payment or reimbursement of such costs directly by a UNM department without using the UNM Lockshop would specifically violate University Administrative Policy 5010: Key Authorization, and University Administrative Policy 5050: Physical Facility Management.
